What payment methods do you accept?
Once you have completed the vendor information form, you will be directed to the appropriate payment page for the type of vendor space you wish to purchase.
After adding your purchase to the cart and proceeding to the payment page, you have the option to pay via PayPal, Venmo, or your own debit/credit card. You do not need to have a PayPal account to submit your payment. We use PayPal as our secure payment processing provider due their low processing fees for charitable organizations.
Vendor Agreement
- The Vendor is entering into a contract with Rod's Project LLC and not the City of Wilmington, Ohio. Rod's Project LLC has purchased Commercial General Liability insurance for the published event date and venue.
- Each booth space in the provided large tents will approximately be 10' x 10' with 2 feet of spacing between booths.
- Vendors providing their own booth shelter (i.e., not part of the larger tent space) must keep their shelters to no more than 12'x 12' in size.
- Electricity may be available but is not guaranteed.
- Vendors are required to furnish their own table(s), chairs, display stands, etc.
- All vendors must plan to stay for the duration of the event to minimize disruption and reduce the risk of injury to patrons, vendors and staff.
- The Vendor may only set up on the day of the event beginning at minimum 2 hours before the published event start-time.
- The Vendor takes responsibility for any damages or incidents that occur at his/her booth.
- No vendor will be granted exclusive rights to sell a particular item/brand including food or drinks
- The Vendor will not sublet or rent out his/her assigned space at any time.
- The Vendor will be responsible for any required permits, licenses, or taxes required by Clinton County or the State of Ohio.
- Food products must adhere to licenses and permits as required. All prepared foods must be labeled in accordance with Ohio Department of Agriculture (ODA) and the Clinton County Health District regulations. If you have questions, please contact the Clinton County Health District at 937-382-3829.
- Firearms, knives, hazardous materials, and cannabis products are not allowed to be sold, displayed or permitted in the venue.
- Rod's Project LLC is permitted to take photographs/video of the booths and vendors and use these photographs/videos for advertisement or promotional purposes.
- Please ensure all merchandise is socially acceptable and meets community standards. Items that advertise political affiliation or are derogatory/offensive/sexual in nature may not be offered for sale or on display.
- Refunds will generally not be given as this event is for fundraising purposes. We do understand that emergency issues happen and will consider such situations if a refund request is needed.
Where is the venue?
The venue will be at the JW Denver Williams Jr Memorial Park in Wilmington, Ohio. Craft vendors will be set up in the large, grass area in the middle of the park which also houses the volleyball and basketball courts. Food trucks will be utilizing the parking lot.
Is electricity available?
Due to the nature of the park setting, electricity is not generally available. There are plug boxes around the perimeter of the craft vendor space area that may be available. We suggest to bring at least 200' of electrical cord.
Is WiFi available?
WiFi is not available for the event, but you should be able to get cellular service from the main carriers in the park's location.
Setup and Tear Down
All vendors need to set up at least 30 minutes before the event. We will have volunteers ready 2 hours before the start of the event to aid in traffic management. All vendors must stay for the duration of the event to ensure the safety of all patrons, staff, and other vendors.
We cannot allow set up before the day of the event and all tents/trailers/etc must be removed after the event closes.
Are restrooms available?
The park has three restroom facilities available. All are considerable distance from the vendor areas. We are looking into getting some portable facilities this year, but have not secured those at this time.
Craft Vendor Shelter Options
We will be providing 1 large tent for craft vendors (with approximately 10 spaces available). You may use Easy-Ups (max 12'x'12) or similar if furnishing your shelter.
If you have a vending trucks/trailer, please let us know when purchasing a craft vendor space.
Food/Beverage Truck Vendors
If you will be vending on-demand food/drinks, you will need to get a Temporary Food Application Packet.
Also, you will need to have a self-contained truck/trailer (own electricity, water, fuel, etc). Generators will be allowed but should be low decibel output. We will not have electricity or water hookup available.
We will be utilizing more of the parking area this year to allow for those food truck vendors who need to be attached to their trailer.
Before food items can be vended at the event, you will need to pass inspection from the Clinton County inspector who will be on-site the morning of the event.
Where do I park at the event?
Parking will be by the softball field. You will be allowed to drive into the craft vending area to setup/tear down if needed. No vehicles will be allowed to be left in the craft vendor area once the event begins.
What items can be sold at the event?
We cannot allow the sale of hazardous materials, weapons, marijuana/THC/cannabis, alcohol, and items that would not be acceptable at a family-friendly event.
Vendor Exclusivity
This year, we have made the decision to not allow vendor exclusivity (e.g., Tupperware, paparazzi jewelry, Avon, food items).
Will the event be held if it rains?
We are planning to hold the event, rain or shine. There will be no make-up days if the event cannot be held due to weather safety-related reasons. The event is in an open-air public park and safety is our highest priority.
